138 – Client Services and Evaluation Coordinator

ACA is currently looking for a dynamic, multitalented, professional and welcoming person to fill the full-time position in client service and evaluation at its Quebec City office.

Salary: $18.00 to 23.00 an hour

The Client Services and Evaluation Coordinator is responsible for the incoming and registration processes and supports other ACA teams by providing effective client services and ensuring that clients’ needs are met.

Candidates must possess a high level of bilingualism and be able to evaluate the English and French level of second language learners.

Administrative tasks (advanced level of French required):

  • Answer phones providing quality customer service. Redirect calls as necessary
  • Answer questions about the different types of classes offered at ACA in person and over the phone, and guide clients to make their choice of classes
  • Answer incoming emails, redirect inquiries to appropriate department, or provide information about training options and registration process.
  • Organize and plan training cohorts for ACA’s adult public groups and for youth classes.
  • Follow up with adult and youth registrations
  • Manage and update student schedules, and contact teachers as necessary
  • Take payments for classes, e-mail invoices
  • Book appointments for placement tests and appointments using an electronic calendar
  • Scan and file documents
  • Place orders and prepare items for delivery
  • Prepare documents for the start and end of group sessions, including processing attendance sheets

Student Evaluations, Placement Tests & Registration (expert level of English and French required):

  • Evaluate students’ oral communication skills through placement tests over the phone or online for corporate classes and public classes
  • Apply ACA’s evaluation method
  • Type at a minimum speed of 30 WPM to transcribe responses while maintaining a conversation with the client
  • Meet with students in person or online to answer questions about classes, providing guidance to the appropriate type of class needed to obtain their objectives
  • Complete student registrations (in person and by phone) for private and group classes
  • Follow up with students as necessary

Other:

  • General support for teachers and staff
  • Welcome students and show them to their class
  • Troubleshoot with clients and instructors for schedules and access to virtual training platforms
  • Be able to manage a busy schedule and multitask with a fast-paced schedule
  • Be organized and efficient
  • Computer skills: Apple OS, Microsoft Office (Word, Excel), Google Suite (Mail, Calendar, Drive, Hangouts), FileMaker Database
  • Second language teaching experience is an asset
