Nature of the work
The principal and customary work of an employee in this class of employment consists of developing a program of activities for the daycare service and ensuring supervision so as to foster, in keeping with the educational project of the school, the overall development of students while taking into account the interests and needs of the students and the rules. The employee sees to the general well-being of students and ensures their health and safety.
The employee also performs technical work related to operating the daycare service, particularly managing financial, human, and material resources.
Characteristic Functions
- The employee works with the school administration on planning and developing the program of activities and evaluating the service projects in keeping with the educational project of the school and ensuring that they are implemented. He or she sees the organization of special activities, primarily pedagogical days. He or she may, in addition, carry out some or all of the duties of a daycare service educator.
- Under the administration’s responsibility, the employee draws up the operating rules of the daycare service and the procedures for registration, attendance, welcoming students, and accompanying them until they leave with their parents.
- Prepare and conduct information meetings intended for parents concerning the organization and operation of the daycare service. They inform parents and students of the rules established.
- Monitor and carry out the admission and registration of students.
- Verify the students’ attendance reports; enter pertinent data using the appropriate software and produce various reports and statistics; enter information the educator provides concerning students’ behaviour.
- Ensure that the laws, regulations, and various measures applicable to a daycare service are met, particularly in hygiene, safety, prevention, cleanliness of materials and rooms, and the storage and distribution of medication.
- Ensure communication between the daycare service and the school administration, parents, school board staff, and outside organizations. Within their competence, the employee follows up on complaints or forwards them to the department concerned.
- Assist the schools` administration in determining budgetary estimates: Prepare and analyze the data required to estimate revenue from enrolment, grants, allowances, and other operating expenses.
- According to the established procedure, they carry out billing, collection, and recovery of amounts due. They are responsible for cash receipts and various payments, keep petty cash, and make deposits. They prepare various reports, official statements, financial statements, and accounts reconciliations.
- Monitor the daycare service’s budget and oversee expenses; complete various forms and applications for allowances and grants and forward the information on the budget balance.
- Under the authority of the school administration, the employee participates in determining staffing needs based on the student enrolment forecasts, drawing up work schedules and preparing the staff’s vacation schedule.
- Under the school administration’s responsibility, the employee works with others to develop and maintain harmonious relations among the daycare service staff members. They prepare and conduct coordination meetings for their service, distribute certain tasks, and evaluate the services rendered with their team members.
- Keep a staff attendance record and verify the record of hours worked. Carry out the measures required to replace absent employees while complying with the rules in effect.
- Participate in the physical and material organization of the daycare service. Keep an inventory of materials and equipment. Based on the policy established, they order or purchase material, equipment, or services, discuss prices with caterers and submit them to parents.
- They use a computer and various software required to perform their work. They update various appropriate registers and may conduct research on the Internet.
- They may be required to train less experienced technicians and to coordinate and supervise the work of educators and, if necessary, other support staff in their duties regarding the delivery of programs or technical operations for which they are responsible.
- If need be, perform any other related duty.
General skills
Schooling
- Hold a Diploma of College Studies in Early Childhood Education or a diploma or an attestation of studies recognized as equivalent by the competent authority.
- Excellent knowledge of oral and written English. Good knowledge of oral and written French would be an asset;
Other requirements
- Hold a certificate dated no more than three (3) years attesting to the successful completion of:
1. a standard first aid course of a minimum eight (8)-hour duration;
2. a refresher course of a minimum six (6)-hour duration updating the skills acquired in the course mentioned in paragraph 1.
