THE POSITION

The primary role of the employee in this job class is to perform various technical tasks related to the management of human and financial resources, the development and implementation of standards, and administrative operations. They may assist professional and managerial staff in their work.

THE RESPONSIBILITIES

  • Perform accounting entries, transfers, reconciliations, and other tasks.
  • Conduct technical analyses of accounts and reports; perform account recovery, identify errors, and correct them.
  • Gather, analyze, and synthesize data necessary for financial reporting preparation.
  • Respond to auditors’ requests and provide the required information, along with supporting documents.
  • Verify the location and coding of various salary classes.
  • Monitor decentralized measures: meet with schools to validate information from Infini and Excel spreadsheets, and input budgets into Dofin and Excel.
  • Prepare and send school tax accounts.
  • Calculate the school population for allocation purposes and send the results to the francophone CSS.
  • Perform recovery of payments made via banks.
  • Process telephone calls, mail, and checks received from taxpayers.
  • Reconcile taxes with Dofin.
  • Apply or adapt management techniques to specific administrative activities and routine operations.
  • Produce reports for relevant organizations and ensure their transmission.
  • Utilize a computer and the necessary software for job execution.
  • Conduct Internet research and, if necessary, assist staff in using job-specific software.
  • Train less experienced technicians and coordinate support personnel in tasks related to technical operations programs.
  • Perform any other related tasks as required.

Qualifications

Schooling

  • Hold a college diploma in General Administration Techniques or other relevant techniques for the job class, or a diploma or certificate recognized as equivalent by the competent authority.

Other requirement:

  • Good knowledge of office automation tools such as Word, Excel, Access. Excellent spoken and written French
  • Functional spoken and written English.
  • Autonomous, capable of handling multiple demands simultaneously, and able to work in a team.
  • Analytical and problem-solving skills.
  • Good sense of priorities, organization, and planning.
  • Judgment, discretion, and objectivity.

RESPONSIBILITIES

  • Coordinate work, assign tasks, verify their completion, and provide feedback on quality; ensure deadlines are met; and oversee the onboarding of new staff.
  • Set the work schedule for their sector according to received instructions; remind relevant individuals, whether internal or external to the organization, of upcoming deadlines.
  • Perform complex and specialized tasks; select, prepare, and verify data; prepare documents, statements, and reports that involve data entry, interpretation when needed, and research both within and outside the organization.
  • Communicate with the public or staff, particularly regarding payment or collection procedures, or any other matter within their area of responsibility.
  • Provide suggestions and recommendations to improve operational processes.

Main Tasks

  • Validation of budget codes – invoices and VISA credit cards
  • Validation of expense reimbursement requests
  • Validation of travel account reimbursement requests
  • Preparation of various quarterly and annual financial reports
  • Calculation and monitoring of post-secondary allowances related to Naskapi students

Required qualifications

  • Excellent knowledge of spoken and written French and English.
  • Must be autonomous, capable of handling multiple requests simultaneously, and able to work effectively as part of a team.
  • Able to learn and adapt to new situations.
  • Strong judgment, analytical skills, and problem-solving ability.
  • Must be able to prioritize assigned tasks, demonstrate organizational and planning skills, and ensure follow-ups.

Schooling and experience

  • Hold a Diploma of Vocational Studies (DVS) in a specialty appropriate for the class of employment, a Secondary School Diploma or a diploma or an attestation of studies recognized as equivalent by the competent authority and have six (6) years of pertinent experience.

Other requirements

  • Know office automation.
